Your application is submitted. Your funding plan needs its own checklist.
An admissions portal says complete. A financial-aid portal still requests a document. A scholarship email gives a different deadline. These are separate processes, and finishing one does not automatically finish the others.
Build one clear aid file for each college. Track what has been received, what is missing, what the offer actually includes, and what your family still needs to understand. The aim is a decision based on confirmed information and a realistic plan for paying the remaining cost.
Move from “submitted” to “understood,” one document and one question at a time.
File 01 / Receipt and review
Check every college's financial-aid requirements.
Make a small tracker with the college, required forms, submission status, missing items, deadline, and next action. Use the financial-aid office's official instructions and the student's portal. Admissions and aid deadlines can differ, and a form marked submitted may still need processing or follow-up.
After the FAFSA is processed, review the FAFSA Submission Summary. Its next-steps information can identify corrections or verification needs. Follow the school's instructions for requested documentation and keep a record of what you submitted. Verification is a review process; it does not by itself mean you did something wrong.
The Student Aid Index is part of aid eligibility assessment, not a college bill or a guaranteed family payment. Your FAFSA summary also is not the college's final financial-aid offer. The school's own offer and billing information answer different questions, so keep those documents separate in your file.
Some colleges require additional institutional forms or supporting documents. International applicants should check each institution's process rather than assume the federal-aid workflow applies to them. If a requirement is unclear, contact the aid office through a verified official channel and ask a specific question.

Useful tracker language“Submitted,” “received,” “under review,” and “complete” are different states. Record the status the institution actually reports, along with the next action you need to take.
File 02 / The offer desk
Compare the cost left after grants and scholarships.
Start with the estimated cost for the same academic period at each school. Include tuition, required fees, housing, meals, books, transportation, and other relevant expenses. Distinguish amounts billed by the college from expenses paid elsewhere. Avoid adding an expense twice if it is already included in the school's estimate.
Then separate the offer into grants and scholarships, loans, and employment. Federal Student Aid's comparison guidance defines net price as total costs minus grants and scholarships. Borrowing and earnings may help fund that amount, but they do not turn it into a smaller price.
For example, a hypothetical college costing $60,000 with $30,000 in grants has a $30,000 annual net price. Another costing $40,000 with $8,000 in grants has a $32,000 annual net price. The larger sticker price is not automatically the more expensive option after gift aid. These figures illustrate the calculation only.
Work-study must be earned through a job; an offer does not mean the money is already available to pay a bill. Loans carry repayment obligations. Read the actual borrowing terms and ask who is responsible, when funds become available, and what steps are required before disbursement.
Do not make a decision from a headline “total aid” figure. Two offers can display similar totals while mixing very different amounts of gift aid, debt, and expected earnings. Ask the financial-aid office to clarify any unexplained abbreviation or amount before treating it as confirmed funding.
Keep two questions separate“What does attendance cost after gift aid?” comes first. “How will we pay that remaining cost?” comes next. A payment method does not erase the cost.
File 03 / The scholarship folder
Search for awards you are eligible to pursue.
Begin with your school counselor, the college's own scholarship page, established community foundations, and organizations connected to your actual activities or circumstances. Use directories to discover candidates, then verify each award on the provider's official site. A familiar award name in an old article is not proof that applications remain open.
For each candidate, record eligibility, required work, deadline, award period, renewal conditions, and how payment is made. Check whether it is for incoming first-year students, current college students, a particular location, or a defined field. Decide whether the fit and application effort make sense before drafting an essay.
Prepare reusable material without sending the same generic answer everywhere. Keep accurate activity descriptions and a few real examples of initiative, learning, or contribution. Be alert to requests for payment or guaranteed awards. The Federal Trade Commission's scam guidance warns against paying to apply for a scholarship or paying an upfront fee to receive a promised award. Verify the provider before sharing personal information.
Report outside awards as the college requires and ask how they affect the existing aid package. Do not simply add a new scholarship to your resources without checking whether another part of the package changes. Get the revised offer or explanation in writing so your comparison reflects the actual result.
File 04 / The clarification desk
Ask for a review when the facts need attention.
If your family's situation is not reflected accurately in the aid information, contact the financial-aid office. Federal Student Aid directs families with special financial circumstances to their school's aid office for help. Explain what changed and ask about the institution's review process and documentation requirements.
Keep the request factual. Identify the circumstance, relevant timing, and the specific question you need answered. Submit sensitive documents only through the school's approved process. A review can produce clarification or an adjustment, but additional aid is not guaranteed.
Also ask about unresolved practical details. When is the aid offer expected? Is any award provisional? What happens if a requested document arrives after a deadline? Can the office explain a difference between two versions of the package? Record who responded and the next step, without treating an informal estimate as a final offer.
If an enrollment deadline is approaching before the aid question is resolved, contact the appropriate offices promptly about available options. Do not assume an extension has been granted, or that a deposit is refundable, without confirmation. Families with an existing enrollment commitment should review that agreement and speak with the institution about affordability concerns.
A specific question gets a clearer answer“Our offer includes this award, but the renewal condition is unclear. Could you confirm the requirement and whether the amount is fixed?” gives the office a concrete issue to resolve.
File 05 / The next-year tab
Check what must remain true for the plan to work.
Compare more than the first year's headline award. Ask which grants or scholarships renew, what conditions apply, whether amounts are fixed or tied to costs, and how changes in enrollment or housing affect the package. A one-time award and a renewable award should not be treated as the same commitment.
Federal Student Aid's continuing-eligibility guidance includes maintaining eligibility, meeting satisfactory academic progress requirements, and filing the FAFSA each year. Institutional awards may have separate conditions. Keep the actual terms, rather than relying on a remembered summary.
Discuss cash flow as well as annual totals. Deposits, travel, books, and supplies may be due before some resources are available. Identify which expenses the college bills, which are paid directly by the student, and when expected funds can be used. Make a realistic plan for the remaining annual amount and any borrowing. If the plan depends on an award you have not won, a job you have not secured, or a future aid increase nobody has confirmed, label that uncertainty. Keep an affordable alternative under consideration while you resolve it.

Before using the comparison
Is net price the same as the amount due on the bill?
No. The annual estimate can include expenses paid outside the college's billing system, and the bill reflects its own charges, credits, and timing. Compare the aid offer, cost estimate, and student bill carefully.
Can I multiply the first-year net price by four?
That gives only a simple illustration. Costs, living arrangements, aid eligibility, and scholarship terms can change. Build a year-by-year estimate and mark the assumptions rather than treating multiplication as a guaranteed total.
Should I include a scholarship that is still pending?
Keep it in a separate possible-funding note. Use confirmed amounts for the main comparison, and update the calculation after the college confirms how the award affects the full package.
A clearer file. A more informed choice.
Keep the next question small and specific.
You do not have to resolve every funding detail in one sitting. Complete the missing item, separate the award types, compare the same annual costs, and ask the aid office about the uncertainty that matters most. Each confirmed answer makes the decision more concrete.
